Human Resources Specialist

Under the general direction of the Director of Human Resources, the HR Specialist will assist with all aspects of recruiting, employment and record functions of the Human Resources Office in accordance with all DCCC, state and federal policies/laws.  Maintain the integrity of the HR office by proper representation and confidentiality of all matters pertaining to the office.  Possess knowledge of basic HR practices, Board policy and government regulations.

Essential Functions/Responsibilities

Primary:

Record and monitor leave records for staff and faculty; maintain accurate records of all leave and respond to staff requests for balances; advise Director of possible FMLA cases;  advise staff of carryover/use or lose; and prepare annual report to Payroll of  leave balances.

  • Assist with new employee orientation; prepare all employment paperwork; input employee information into AS400; use HR check-off list to assure all information is correct and submitted to Payroll and other departments as required; assign sponsor and initiate welcome process; prepare new employment packets; and complete all employee files according to HR policies.
  • Process all paperwork/notifications to departments regarding termination/resignation of an employee; schedule exit interview with HR Director and initiate paperwork for exit interview; maintain key log; and close/retain all personnel files according to established guidelines.
  • Administer basic HR office procedures, following applicable DCCC policies and procedures, State and Federal law.
  • Assure that all employees complete the Bloodborne Pathogen training; as appropriate track Hepatitis vaccinations of employees with Ford County Health Department; and prepare requisitions for payment of vaccine.
  • Check references on prospective employees prior to job offer by HR Director and perform background investigations as needed on designated employees.
  • Verify I-9 information on new employees.  Maintain I-9 files and report W-4’s to proper agencies as required by law.
  • Monitor yearly evaluation on all full-time/part-time employees (excluding faculty) to ensure that all are current.  Track new employees’ 60 day evaluation process.

General: 

  • Greet and escort visitors, answer and route telephone calls and distribute messages.
  • Open, date stamp and distribute mail and other office correspondence.
  • Prepare requisitions for Director’s approval for advertising, travel and office supplies.
  • Prepare letters, memos and other documents for Director and others as requested.
  • Maintain office personnel files by filing all paperwork promptly.
  • Prepare and maintain office databases to maintain personnel information to provide logs and list of reports due throughout the year.
  • Attend staff meetings and training as requested by the Director.
  • Maintain an adequate supply of office supplies and prepare requisitions when needed.

Required Qualifications

  • Associates Degree
  • Initiative and able to follow through on projects
  • Advance computer skills
  • Ability to learn employment and labor laws of the State of Kansas and policies of DCCC
  • Excellent communication skills; able to work well with students, staff, administration and faculty
  • Able to multi-task in busy office
  • Professional appearance and demeanor
  • A valid Kansas driver’s license

Preferred Qualifications

  • Bachelor’s Degree
  • Prior office experience
  • Microsoft Access experience

  • Able to bend, reach and stoop to perform job functions
