Records & Student Services Assistant

Under the direct supervision of the Registrar, the Records/Student Services Assistant shall be responsible for answering telephone, transferring calls, taking accurate messages, generating routine correspondence, typing reports and forms, and providing back up for several other student services positions.

This position is responsible for shaping the customer service experience for prospective and current students interacting with DCCC and to provide support to the Student Services staff. Professional interaction with internal and external customers and partners is a key element of this position.

Essential Functions/Responsibilities

  • Provide high quality customer service.
  • Process student enrollments both in person and on the phone.
  • Maintain high school release forms.
  • Prepare, mail, and record transcripts.
  • Maintain student academic files.
  • Process enrollment verifications and loan deferments.
  • Serve as primary contact for the Student Service’s office.
  • Responsible for maintaining the DCCC switchboard.
  • Responsible for voicemail recordings for the main campus line.
  • Responsible for securing switchboard coverage in one’s absence.
  • Provide customer service to students, visitors and college personnel.
  • Assist with daily functions of Financial Aid and Admissions.
  • Assist with coverage of the Testing Center.
  • Maintain inventory and prepare requisitions for office supplies and forms
  • Provide back up for Records office
  • Sort and distribute mail for Student Service’s offices.
  • Maintain a supply of catalogs, view books, and financial aid materials at the front desk.
  • Responsible for vending machine refunds.
  • Responsible for issuing of parking permits to students and staff.
  • Create and maintain student and staff picture ID’s.
  • Assist with Registrar responsibilities
  • Other tasks and duties as assigned by the Dean of Students

Qualifications

Required

  • High School Diploma/GED.
  • At least two years related experience in customer service.
  • Enthusiastic personality and pleasant telephone techniques.
  • Ability to work well with students, peers, and supervisors.
  • Ability to problem-solve.
  • Experience managing multiple projects.
  • Experience with Microsoft Word, Access, and Excel.

Preferred

  • Associate’s Degree
  • Experience operating multi-line phone system.
  • A valid driver’s license.
  • Bilingual skills in English/Spanish helpful but not required.
  • Previous Student Services experience.

Supervisory Responsibilities

  • None

Physical Requirements (with or without assistance)

  • Ability to lift and carry 35 pound.
  • Ability to speak clearly and audibly to students in person and on the telephone.
  • Ability to stretch, bend, stoop, and kneel as required to perform the duties of this position.
  • Ability to do any physical work assigned.
